Online GST Registration in India: Step-by-Step Guide

If you run a business in India and your turnover has crossed the limit, or you fall into a category that requires registration regardless of turnover, you need a GSTIN. The good news is that the entire process happens online through the GST portal, and you don't need to visit any government office in most cases.

This guide walks you through everything in plain language: who must register, what documents you need, the exact steps, how long it takes, and the common mistakes that cause delays. By the end, you'll know exactly where you stand and what to do next.

What Is GST Registration and Why Does It Matter?

GST registration is how a business gets formally added to India's Goods and Services Tax system. Once your application is approved, you receive a 15-digit GSTIN, which is based on your PAN and the state where you operate.

Without this number, you cannot legally collect GST from your customers, and you cannot claim input tax credit on the GST you pay on your own purchases. For many businesses, registration isn't optional, it's a legal requirement once certain conditions are met.

    What You Get After Registration

    • A unique GSTIN that identifies your business under GST law
    • The ability to legally collect and charge GST on sales
    • Eligibility to claim input tax credit on business purchases
    • Freedom to sell across state lines without restriction
    • Higher credibility with banks, vendors, and larger clients who often prefer dealing with GST-registered businesses

Who Needs Online GST Registration in India?

Short answer: any business that crosses the turnover threshold, or carries out certain types of activity, must register. Here's how the threshold actually works.

As per current rules, suppliers of goods must register once aggregate turnover crosses ₹40 lakh in most states (₹20 lakh in special category states), while service providers cross the line at ₹20 lakh (₹10 lakh in special category states).

Mandatory Registration Categories (Regardless of Turnover)

Some businesses must register the moment they start operating, even with zero turnover, because of how they operate rather than how much they earn:

    • E-commerce operators and sellers on platforms like Amazon or Flipkart
    • Businesses making inter-state taxable supplies of goods
    • Casual taxable persons and non-resident taxable persons
    • Agents or persons supplying goods/services on behalf of someone else
    • Anyone required to deduct or collect tax at source under GST
    • Input Service Distributors (ISDs)
    • Online service providers based outside India serving unregistered Indian customers

Is GST Registration Compulsory Below the Threshold?

No, not unless you fall into one of the mandatory categories above. Many small businesses choose voluntary registration anyway, mainly to claim input tax credit, build credibility with bigger clients, or prepare for future growth.

What Documents Do You Need for GST Registration?

Keeping these ready before you start saves time and avoids back-and-forth with the GST officer.

    For All Applicants

    • PAN card of the business or applicant
    • Aadhaar card of the proprietor, partners, or directors
    • Photograph of the applicant(s)
    • Proof of business address (electricity bill, rent agreement, or NOC from the property owner)
    • Bank account proof (a cancelled cheque or recent bank statement)
    • Digital Signature Certificate (mandatory for companies and LLPs)

    Additional Documents by Business Type

    • Proprietorship: no separate registration proof needed, PAN and Aadhaar of the proprietor are enough
    • Partnership firm: partnership deed
    • Private Limited Company or LLP: Certificate of Incorporation, MOA/AOA, and board resolution authorising the signatory
    • HUF: PAN of the Karta and HUF

How to Apply for GST Registration Online: Step-by-Step

The entire process happens on the official GST portal. Here's the sequence as it works today.

Step 1: Generate Your TRN (Part A of Form REG-01)

Visit gst.gov.in, go to Services > Registration > New Registration, and select 'Taxpayer'. Enter your PAN, legal name, email, and mobile number. You'll receive an OTP on both to verify, after which a Temporary Reference Number (TRN) is generated.

Step 2: Complete Part B With Business Details

Log in using your TRN and fill in business details, including:

    • Trade name and constitution of business
    • Principal place of business and any additional places
    • Details of goods or services you deal in (HSN/SAC codes)
    • Details of promoters, partners, or directors
    • Bank account information
    • Authorised signatory details

    Step 3: Aadhaar Authentication

After submitting Part B, you'll be asked to complete Aadhaar authentication, either through an OTP sent to your Aadhaar-linked mobile number, or, if flagged for biometric verification based on risk parameters, by visiting a GST Suvidha Kendra (GSK) in person.

Important: you must complete this step within 15 days of submitting Part B. If you miss this window, your TRN lapses and no Application Reference Number (ARN) is generated, meaning you'll have to start over.

Step 4: Get Your ARN and Track the Application

Once authentication is successful, you receive an Application Reference Number (ARN) by email and SMS. Use this ARN to track your application status on the portal at any time.

Step 5: Verification and GSTIN Allotment

A GST officer reviews the application. If everything matches, you receive your GSTIN and registration certificate (Form GST REG-06) by email. If the officer needs clarification, you'll get a notice in Form GST REG-3, and you must respond within 7 working days using Form GST REG-4.

How Long Does Online GST Registration Take?

With successful Aadhaar OTP authentication and no physical verification needed, approval typically comes within 3 to 7 working days. If biometric verification or physical site verification is required, it can take up to 30 working days. Eligible small taxpayers can also use a simplified route under CGST Rule 14A, which allows approval in as little as 3 working days for businesses with limited monthly tax liability.

    ScenarioTypical Timeline
Aadhaar OTP authentication, no flags raised3 to 7 working days
Biometric authentication requiredUp to 15 to 30 working days
Physical site verification neededUp to 30 working days
Simplified Rule 14A route (eligible small taxpayers)As fast as 3 working days

    Is GST Registration Free?

Yes. The government charges zero fees for GST registration when you apply directly through the official portal. The only costs you might incur are professional fees if you hire a consultant or CA to handle the paperwork and follow-ups on your behalf, which many business owners prefer simply to avoid errors and rejections.

Common Mistakes That Delay GST Registration Approval

Most delays aren't caused by the portal, they're caused by small, avoidable errors in the application. Watch out for these:

    • Mismatch between PAN and Aadhaar details (name, date of birth, or gender)
    • Blurry or unclear scanned documents that fail verification
    • Address proof that doesn't match the business address entered in the form
    • Missing No Objection Certificate (NOC) when operating from rented or residential premises
    • Selecting the wrong business constitution type
    • Missing the 15-day window to complete Aadhaar or biometric authentication
    • Slow or incomplete responses to a GST officer's clarification notice (Form GST REG-3)

What Happens After You Get Your GSTIN?

Registration is the starting point, not the finish line. Once you have your GSTIN, a few responsibilities follow:

    • Update your bank account details on the portal within 30 days of receiving the GSTIN
    • Display your GSTIN at your place of business as required
    • Start issuing GST-compliant invoices
    • File your GST returns on time, even if there's no business activity in a given period
    • Maintain proper records of sales, purchases, and input tax credit claimed

Need Help With Your GST Registration?

Online GST registration is designed to be simple, but small errors in documentation or Aadhaar mismatches can cost you weeks of delay. If you'd rather have someone experienced handle the filing, document checks, and officer follow-ups for you, our team at SAI NGO & Business Consultancy is happy to help.

Feel free to get in touch with us for a quick, no-pressure consultation about your specific registration needs.
